Accounting assistant/Receptionists provides administrative support to the accounting department by performing various tasks, such as filing, mail handling, customer invoicing, accounts payable, accounts receivable, answering phones, and greeting visitors. Anything else that needs to be done including help in other departments.

Job Responsibilities:

  • Serves visitors by greeting, welcoming, and directing them appropriately.
  • Notifies company personnel of visitor arrival.
  • Maintains security by following procedures, monitoring logbook, and issuing visitor badges.
  • Answer phones and routes phone calls to appropriate personnel.
  • Maintains job tickets including filing and storage.
  • Enter customer specific jobs into accounting system for billing.
  • Maintains bookkeeping and database spreadsheets updating information as needed.
  • Opening mail and route all incoming mail.
  • Bank Deposit and posting payments.
  • Helps with creating, posting and invoicing customers.

Job Qualifications:

Helps with other duties to provide administrative support to the accounting department.

  • Strong communication, including writing and speaking.
  • Professionalism
  • Good problem solving and critical thinking skills.
  • Bookkeeping and accounting skills.
  • Proficiency in Excel and Microsoft word
  • Knowledge of Outlook and Teams a plus.
  • Organization, time management and prioritization abilities.
  • Knowledge of HIPPA rules and regulations a plus.
